Prepare organisation contacts for import
If you plan to import organisations and link people with organisations you need to prepare organisation contact data separately. Organisations must be imported first, before people.
Access the template Google Sheet
Your contact data must be prepared in the prescribed format using this template. To create a copy of this template go to the File menu and choose Download.
Summary
- Organisation data should be added to the Organisation tab of the import spreadsheet.
- The Organisation name field is required but all other fields are optional.
- You must create all referenced Groups, Membership Subscriptions, and Custom Fields before you can assign them to organisations during the import process. Search the help centre for more information on each of those areas.
Formatting guidance for specific fields
Many fields require specific formatting. This is specified in a note on the title cell of each column in the import template. Columns without a note will accept all standard letters, numbers and symbols.
Custom fields
Each custom field is represented by a column at the end of the import spreadsheet. The template includes a few examples like ‘Field: Industry’ and ‘Field: Date of birth’. These example column names should be deleted and replaced with any custom fields you require, naming these columns ‘Field: [Name of custom field]’.
Linking people with organisations
Once you have populated the Organisations tab of the import template you can link people with organisations by referencing the Organisation name within the person’s entry on the People tab.
Tip: Add spreadsheet data validation rules to the Organisation column of the People tab to limit entries to organisations that already exist on the Organisations tab.
People who are affiliated with organisations will automatically gain the benefits of any membership subscriptions owned by the organisation.
