Understand event booking statuses
When managing an event, you will see a list of all bookings. Each booking is associated with a specific Ticket type and has a Status that tracks its progress.
This article explains what each status means and how to manage them.
Automated statuses
These statuses are applied automatically by the system during the booking process.
Pending
This status indicates that a user has added a ticket to their basket but has not yet completed the checkout process.
- Capacity: Pending bookings reserve a space on your event to prevent overbooking.
- Expiry: They are held for 1 hour. If payment is not completed in that time (e.g. if the user abandons the page or payment fails), the system automatically cancels them to release the ticket.
- Note: You cannot manually change a Pending booking to Booked. If a user fails to pay online and contacts you to pay manually, you must let the pending booking expire and create a new manual booking for them instead.
Booked
The booking is confirmed. If payment was required, it has been successfully processed.
Cancelled
The booking has been removed and the ticket released back into the available pool.
- Restore: If a booking was cancelled in error, you can use the action menu (...) next to the booking and select Restore booking.
- Delete: Once cancelled, you can permanently remove the record by selecting Permanently delete from the action menu.
Manual statuses
These statuses help you track attendance on the day of the event. They do not affect the validity of the ticket or payment.
You can apply these statuses to any Booked record. This can be done individually using the action menu (...) or in bulk by selecting multiple bookings and using the bulk action dropdown at the top of the list.
Attended
The person arrived at the event.
Absent
The person did not show up.
