Import changes to existing contacts
You can update existing contact information using the import process. However, only specific data fields can be modified in this way.
Prepare your spreadsheet
- Export existing contacts: Begin by exporting your current contact data using the Export data process. This provides the correct column names and the essential "ID" number for each contact.
- Create the update spreadsheet:
- Include only the columns containing data you wish to update.
- Always include the "ID" column.
- Include only the contacts you want to update.
- Include only columns that are supported for updates.
Supported data fields
People:
- Title
- First name
- Last name
- Gift Aid
- Appear in directories
- Field: [label] (follow this format to target Custom fields)
- Groups
- Communication type
- Mandate
Organisations:
- Name
- Appear in directories
- Field: [label] (follow this format to target Custom fields)
- Groups
- Mandate
Important note:
For groups, mandates and communication types if the column is present in the update file, all existing entries for that contact will be replaced with only those listed in the update file. To retain existing entries, ensure they are included in the import file.
Upload a CSV
- Save each of your contact lists (Organisations and People) as separate CSV files.
- To import people go to Contacts > People > Actions> Import people
- To import organisations go to Contacts > Organisations > Actions > Import organisations
- Upload a file to the system and wait for it to be checked. If there are any errors these will be displayed on-screen. You will then need to work through your original file to resolve each error. Repeat this process until there are no more errors and the contacts are imported.
